Privacy Policy

Last updated: April 2026

SnapCaption (“we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services at snapcaption.app (the “Service”).

1. Data Controller

SnapCaption is the data controller responsible for your personal data. If you have questions about this Privacy Policy or our data practices, please contact us.

2. Information We Collect

Account Information (Optional)

If you choose to create a free account, we collect:

  • Email address (required for account creation)
  • Full name (optional)
  • Password (stored securely using industry-standard hashing)

Anonymous Usage Tracking

We collect anonymous event data to understand how the Service is used. This includes:

  • Event type (download, copy, email send)
  • League and team selections
  • Player count, column count, and template name
  • A random session identifier stored in your browser’s localStorage

We do not collect or store IP addresses. Anonymous tracking uses a randomly generated session hash stored locally in your browser — it is not linked to your identity and cannot be used to identify you.

If you are logged in, your user ID may be associated with events to provide account-level usage history.

Donation Click Tracking

When you click a donation link, we record an anonymous count of the click. No personal information, IP address, or user identity is associated with donation clicks. We track only the total number of clicks to measure community engagement.

3. What We Do NOT Collect

  • IP addresses
  • Precise geolocation data
  • Payment or financial information (the Service is free)
  • Third-party tracking cookies
  • Advertising identifiers

4. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Deliver roster files via email when you use the email feature
  • Understand aggregate usage patterns (which leagues and features are popular)
  • Detect and prevent abuse, scraping, and unauthorized automated access
  • Respond to support requests

5. Information Sharing and Disclosure

We do not sell, rent, or trade your personal information. We may share information with:

  • Service Providers: We use third-party providers for data storage, authentication, email delivery, and hosting. These providers are contractually obligated to protect your data.
  • Legal Requirements: When required by law, court order, or government request.

6. Data Security

We implement appropriate technical and organizational measures to protect your data:

  • HTTPS/TLS encryption for all data transmission
  • Secure, industry-standard authentication and password hashing
  • Row-level security policies on all database tables
  • Privileged credentials used only server-side, never exposed to the browser

7. Data Retention

  • Account Data: Retained while your account is active and for 30 days after a deletion request.
  • Anonymous Event Data: Retained indefinitely for aggregate analytics (cannot be linked to individuals).
  • Session Hashes: Stored in your browser’s localStorage — you can clear them at any time by clearing your browser data.

8. Cookies and Local Storage

We use browser localStorage to store a random session hash for anonymous usage tracking. We use essential cookies only for authentication if you create an account. We do not use third-party analytics cookies, advertising cookies, or any form of cross-site tracking.

9. Your Rights

You have the right to:

  • Use the Service without creating an account
  • Request a copy of any personal data we hold about you
  • Request deletion of your account and associated data
  • Clear your browser’s localStorage to reset your anonymous session hash
  • Object to processing of your personal data

To exercise these rights, contact us.

10. Children’s Privacy

The Service is not intended for users under 18 years of age. We do not knowingly collect personal information from children under 18. If we become aware that we have collected data from a child under 18, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes via email or a prominent notice on the Service. Your continued use of the Service after changes become effective constitutes acceptance.

12. Contact Us
